Position Description

Seattle Human Resources endeavors to promote an equitable and engaging work environment so employees can do their best work and make a difference for the people and communities we serve. The Department focuses on providing high quality services to all City employees and departments and works collaboratively with department leaders to align policies, practices, and programs citywide to fulfill the vision of workforce equity and excellence.

As part of this mission, the Benefits team manages a variety of benefit contracts and plans to support approximately 12,000 City of Seattle employees. The team interacts regularly with employees and contracted plan providers and is continually looking for ways to improve the service they provide. We are looking for an Administrative Assistant II who will provide administrative support to the unit.

Job Responsibilities

In this role:
You will provide assistance to the Benefits unit by:
  • Scanning checks and other incoming mail
  • Distributing mail, faxes, and supplies
  • Processing and archiving unit invoices
  • Scheduling Flu Shot Events
  • Manipulating and emailing flyers for weekly events
  • Filing New Enrollment Confirmations
  • Managing the unit’s calendars and scheduling events
  • Loading and linking documents in SharePoint
You will ensure employees and retirees are informed of their benefits by:
  • Creating and mailing COBRA letters
  • Mailing Retiree Confirmation letters
  • Sending Medicare Eligible Letters to retirees
  • Creating and mailing Over-age dependent letters
  • Managing Active Age 65 letters
  • Sending retroactive pay opportunity mailings
You will feel prepared to take on this role if you have a combination of the following:
  • Proficiency working in a Windows-based environment using Outlook, Microsoft Word, Excel, Publisher, and Access
  • Demonstrated ability working well with others as a team
  • Experience in a confidential environment
  • The ability to multitask and manage your time effectively
  • Excellent proofreading skills
  • The ability to work independently and exercise good judgment
  • Experience providing excellent customer service
  • Proficiency with other commonly-used tools, such as SharePoint, Ingenuix, and Adobe

Qualifications

In addition to the ability to perform the tasks described above, you will need to possess the below required qualifications:
  • 2 years of experience in clerical support, or a similar field

Additional Information

This overtime-eligible position is classified an Administrative Assistant II and reports to the Benefits Supervisor.? The full pay range for this step-progression position is $28.00 - $31.35 per hour. New employees begin at Step 1 of the pay progression, which is $28.00 hourly. Current City employees starting rate of pay will be based on Personnel Rules regarding promotions.

The first round of interviews for this position are tentatively scheduled for Tuesday, July 11 and Wednesday, July 12, with the second round taking place on Tuesday, July 18 or Wednesday, July 19, 2023.

This position offers the flexibility of a hybrid work schedule. Employees will be expected to be in-office twice a week. Individual schedules will be based on agreement between the employee and their supervisor.

Applicants must successfully pass a background check, which will be conducted in accordance with Seattle’s Fair Chance Employment Ordinance, SMC 14.17. Applicants will be given a chance to explain or correct background information and provide verifiable information of good conduct and rehabilitation.

Individuals selected to fill this position may be eligible to receive Language Premium Pay (SMC 4.20.360), which provides a $200.00 monthly stipend to qualified bilingual employees who are properly evaluated and assigned to provide direct communication in-language, interpretation, or translation services to the public on behalf of the City of Seattle.
